Quality Policy

International Manpower Recruitment Pvt. Ltd. is deeply committed to upholding the reasonable privacy expectations of all individuals with whom it engages in business, including suppliers, customers, consumers, and employees. In strict adherence to applicable laws and requirements, IMR ensures the responsible collection, storage, processing, transmission, and sharing of personal information. IMR diligently implements its privacy policy to safeguard against unauthorized disclosures. The management system includes the management of documented information, encompassing storage, preservation, retention, and disposal methods to secure records.

Procedure:

Designated heads of departments hold the authority to manage and safeguard all information within their respective domains. Confidential information pertaining to the company that employees may come across during their employment must be used exclusively for advancing the company's business interests and should not be disclosed to any third party, whether directly or indirectly, unless explicitly authorized by the company. This obligation persists even after the termination of the employment relationship, irrespective of the reason for termination.

Collection of Information:

IMR typically gathers information from its suppliers, customers, consumers, and employees. This information may encompass Memorandums of Understanding (MoUs), agreement letters, contact details, personal details, and more. The purpose behind collecting this information is communicated to the stakeholders, and information is obtained only after the concerned parties provide their consent.

Storing of Information:

Information is securely stored either electronically or in hard copy format. Employees responsible for storing this information bear the responsibility of maintaining its security.

Processing of Information:

All information is processed only when necessary, such as for legal requirements, creating employee skill matrices, and conducting performance evaluations. While processing information, special care is taken to ensure the confidentiality of the data.

Transmitting the information:

Information is only transmitted to the relevant authorities with prior permission.

Sharing the information:

Information is shared when regulatory requirements dictate, and consent is sought before sharing, unless there is a compelling reason not to do so.

Monitoring:

A team comprising members from MR and administration is responsible for implementing, monitoring, and updating the privacy policy. They oversee its application, and department heads conduct regular checks to ensure the privacy of suppliers, customers, consumers, and employees is upheld. Top management, during management reviews, also monitors the application of the privacy policy. Monitoring is also part of internal assessments.

Investigation and Sanctions:

Upon the detection of any nonconformance during monitoring, a thorough investigation is initiated. Investigations are also conducted in cases of alleged violations, with reports presented to IMR's board members. Based on the investigation's findings, corrective and preventive actions are taken. If a violation is suspected, immediate measures are implemented to stop it, and personnel involved receive necessary guidance.

Violation of the Policy:

Any employee found to have leaked private information at any stage of the collection, storage, processing, transmission, or sharing process will undergo investigation. An investigation team led by department heads is formed to collect evidence and witness statements. The accused will have an opportunity to provide their justification. If found guilty, appropriate action will be taken, ranging from warning letters to service termination or involvement of law enforcement, depending on the severity of the violation.
